London Art Biennale

1. Who we are

The London Art Biennale is organised by Gagliardi Design Limited, a company registered in England and Wales (number 01346662), whose registered office is at 2nd Floor, Unicorn House, Station Close, Potters Bar, Hertfordshire EN6 1TL. We are the controller of the personal information described in this policy. Our administrative office is at 509 King’s Road, London SW10 0TX.

2. What we collect

  • Enquiries. When you use the contact form: your name, email address and message, and any organisation or telephone number you give.
  • Mailing lists. When you join the mailing list or the artists’ list: your name, email address, and the country or interests you choose to give.
  • Submissions. When you submit work: your name, email address, country and any telephone number you give, the number of submissions you pay for, and your submission number.
  • Payments and donations. Card payments are taken by Stripe. We receive confirmation of the payment, the amount and your contact details, but never your full card number. For donations, we also keep the details you enter on the form, such as your address, any message, and whether you are happy to be named.
  • Use of the website. Only if you agree to analytics cookies: information about how the site is used, such as pages visited, the device and browser, and the general location derived from it.

3. Why we use it

  • To process your submission: to take payment, send your Submission Certificate, check selected artists against their submission numbers, send results and, if you are selected, arrange the exhibition. We do this to carry out our agreement with you.
  • To answer enquiries, and to keep in touch with artists who have submitted about the edition they entered — for example to send the closing date. This is in our legitimate interests in running the Biennale.
  • To send mailing-list news, and to use analytics cookies, only with your consent, which you can withdraw at any time.
  • To keep financial records, as the law requires.

We do not sell personal information, and we do not use it for automated decision-making.

4. Who receives it

We share personal information only with the services that run the Biennale on our behalf:

  • Stripe, which processes card payments and donations.
  • Google (Gmail and Google Sheets), where enquiries are received, mailing lists and submission records are kept, and Submission Certificates are sent from.
  • Sevalla and Cloudflare, which host and deliver this website.
  • Microsoft Clarity, our analytics service, only if you have agreed to analytics cookies.
  • Gagliardi Gallery, which curates the Biennale with us: artists who join the artists’ list are also added to its artists’ records.
  • The selection panel, which sees the works entered and the artists’ names.

Works are uploaded on Artemisia (artemisia.art), an independent platform. The information you give Artemisia is handled under Artemisia’s own privacy policy.

Some of these services store information outside the United Kingdom. Where they do, the transfer is protected by the safeguards UK law requires, such as adequacy regulations or approved contract terms.

5. How long we keep it

  • Submission, payment and donation records: six years, as tax law requires.
  • Mailing lists: until you ask to be removed.
  • Enquiries: for as long as is needed to deal with them, and then deleted.

6. Cookies

This site sets one strictly necessary cookie, to remember your cookie choice. Analytics cookies are set only if you accept them in the cookie banner, and you can change your choice at any time from the link at the foot of every page. Stripe sets its own cookies on its payment pages, to process payments securely and prevent fraud.

7. Your rights

You can ask to see the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, or to receive a copy of it. Where we rely on your consent, you can withdraw it at any time. To do any of these, contact us or write to us at the address below.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We would be grateful for the chance to put things right first.

8. Changes to this policy

We will update this policy when the way we handle personal information changes. The date at the top shows when it was last revised.
